# Balance and top-up

The balance is money on the organization's account at datool.ru. Plans, extra seats and packs are paid from it with one click, and soon AI service tokens will be too. You can top it up online by bank card and other methods, or by invoice. This article explains how to read the Balance tab, how to top up, what the pages after payment mean, which receipts you get and how to get money back.

## Where to find it

[hi.datool.ru/balance/](https://hi.datool.ru/balance/) — the **“Balance”** tab of the account; also the “Balance” item in the Account menu of the site header. Only the **owner** of the current organization sees the tab.

**Each space has its own balance.** The personal space and each team are separate accounts: a team's money isn't visible in the personal space and vice versa, and there are no transfers between them. To see another balance, switch the organization to the right of the account heading. The line under the tab heading tells you whose balance is open: your personal balance or the shared balance of a named organization.

## The “Balance” card

![The “Balance” and “Activity over 30 days” cards](https://media.datool.ru/docs/guide/en/cabinet-balance-cards.webp)

The large number is how much money is on the balance. Below it, a coloured bar and captions show **what the balance consists of**:

- **“Deposited”** — money you paid (online or by invoice);
- **from promo codes** — a balance gift or top-up bonus ([“Promo codes”](/en/cabinet/promo/));
- **“Partner rewards”** — rewards transferred from the partner program ([“Partner program”](/en/cabinet/partner/)).

The line under the bar: **bonus money is spent first** (promo gifts first of all), so “deposited” is exactly the amount you can get back on request. Money from “Plan remainder on upgrade” (returned when you move to a higher tier) also counts as bonus money.

Buttons:

- **“Top up”** — the top-up page (below);
- **“Pay for a plan from the balance”** — the plans page;
- **“How the balance works”** — a dialog with the rules.

## The “Activity over 30 days” card

- **“Credited”** — how much came in over the last 30 days;
- **“Charged”** — how much was spent;
- **“Operations”** — how many operations there were;
- a **“Charges:”** line — what the money went on, by type, from the largest amount down.

Below is the **“Have a promo code?”** field with an “Activate” button: a balance gift is credited at once, a plan discount applies at checkout. Partner codes can be entered here too.

## Operation history

![Operation history with a filter by type](https://media.datool.ru/docs/guide/en/cabinet-balance-history.webp)

Every top-up and charge is a log row: **date and time**, **operation** (type), **description** (for example, the payment method and payment number, or the plan name), **amount** (a top-up is green with “+”, a charge has “−”) and **balance** after the operation. Operations are never deleted or edited: a mistake is corrected by a reverse operation.

The pill filter above the table: **“All”**, **“Top-ups”** (any income except promo codes), **“Charges”**, **“Promo codes”**. 50 operations per page; the back and next buttons keep the filter.

Operation types: top-up, plan payment, extra seats, Following packs, favorites packs, PDF report packs, word packs, API request packs, plan remainder on upgrade, from promo code, partner reward, refund on request, adjustment.

## Topping up the balance

The page [hi.datool.ru/balance/topup/](https://hi.datool.ru/balance/topup/) — the “Top up” button on the Balance tab, or the top-up link from a plan checkout page (then the missing amount is already filled in). Only the owner can top up; the money goes to the balance of the **current** organization.

![Top-up page: amount, payment method, promo code and total](https://media.datool.ru/docs/guide/en/cabinet-balance-topup.webp)

1. At the top — **for whom** (personal balance or an organization) and **the current balance**.
2. **“Top-up amount”** — click a preset (599, 1,490, 4,990, 10,000 or 30,000 ₽ — plan prices and round sums) or enter your own: **from 100 to 300,000 ₽ per payment**, kopecks allowed. More — by invoice via support.
3. **“Payment method”** — method cards: **bank card** (Mir, Visa, Mastercard), **SBP** (Faster Payments System, via your bank's app), **SberPay**, **T-Pay**, **YooMoney**. The page shows only the methods currently enabled by the payment system.
4. **“Promo code”** and **“Apply”** — if you have a top-up bonus code: a bonus line appears in the summary (plan discounts and free subscriptions can't be entered here — the page tells you where).
5. Summary: **“Total”**, bonus and **“Will be credited”** — updated as soon as you change the amount.
6. Click **“Proceed to payment”** — a secure **YooKassa** page opens, where you enter card details or confirm the payment in your bank's app. By clicking the button you accept the public offer.

After payment YooKassa returns you to the result page. If you need an invoice for a company, the support email is shown under the form: we'll issue an invoice and the money will go to the same balance.

!!! note
    Clicking “Proceed to payment” again (double click, Back button) doesn't create a second payment — the same one opens. An organization can have no more than 10 unpaid top-ups per hour.

## Payment result page

The address is `hi.datool.ru/balance/topup/<payment number>/` — YooKassa returns you here. The summary shows for whom, amount, promo bonus, payment method, payment number and — if paid — the new balance. The heading depends on the result:

| Heading | What it means | What to do |
|---|---|---|
| **“Balance topped up”** | The money has been credited | “To balance” or “Pay for a plan from the balance” |
| **Plan activated** | You paid for a plan by card: the money arrived and immediately paid for the subscription; the end date is shown | “To subscriptions” or “To balance” |
| **“Waiting for payment confirmation”** | YooKassa hasn't sent the result yet — usually a matter of seconds | The page refreshes itself every few seconds; there's also a refresh button |
| **“Payment not confirmed”** | No confirmation for more than half an hour | If you've already paid, the money will arrive as soon as YooKassa confirms. If not — “Return to payment” or “Start over” |
| **“Payment failed”** | The bank or you cancelled the payment; no money was taken | “Try again” — with the same amount and method |

![Result: “Balance topped up”](https://media.datool.ru/docs/guide/en/cabinet-balance-status-paid.webp)

![Result: “Payment failed”](https://media.datool.ru/docs/guide/en/cabinet-balance-status-failed.webp)

If you paid for a plan by card but it couldn't be activated (for example, the price or promo code changed while you were paying), the money **stays on the balance** — the page says so and offers “Activate from balance”.

## Receipts

Fiscal receipts under Russian law 54-FZ are issued by the YooKassa cash register and sent **by email** to the person who paid (if there's no email — to the organization's owner). There are two kinds:

1. **On top-up** — a “full prepayment” receipt: you paid in advance for the service.
2. **When the balance is spent** on a plan, seats or packs — a “full settlement” receipt that offsets that prepayment: the service has been rendered.

That's why paying for a plan by card produces **two receipts** at once. Bonus money (promo codes, partner rewards, plan remainder) doesn't produce a receipt — nobody paid for it. Money paid by invoice is accounted for with closing documents.

## Refunds

Money isn't returned from the balance just like that — only **on written request**: write to [support](/en/cabinet/support/) with the organization and the amount. Only **deposited** money can be returned — the refundable amount shown on the Balance card. Promo money, partner money and plan remainders can be spent on the site but aren't refunded. Terms — in the [public offer](https://hi.datool.ru/legal/offer/).
