PDF reports and exports
“Reports and exports” is the “My MAX” page that gathers all your organization's files: the PDF report of a channel dashboard, CSV and Excel exports of channel lists, posts and word matches, plus the history of everything members have already downloaded. Almost everything here takes one click: pick a format and the file downloads.
Where to find it
The page address is https://max.datool.ru/my/reports/. You can get there:
- from the “My MAX” menu — the “Reports and exports” item (how the section works — see “My MAX” overview);
- automatically — after ordering a large post export: the site redirects you here with a message that the file is being built.
The page is available after signing in. Reports, exports and history belong to the organization: all its members see the same history, and the limits are shared. If you belong to several organizations, the page shows the data of the one currently selected in the site header.
Who can use it: CSV and Excel exports — with a “Premium” or “Business” subscription; the PDF report — with “Premium” (1 report per billing period) and “Business” (30 reports), and for anyone who has a report pack. Without a subscription the page opens, but the buttons are locked (details below).
The page of the demo organization with a “Business” subscription:

Under the title is a short hint: “Click a format — a small file downloads immediately, a large one is built in a queue and appears in “Export history” with a link for 3 days.”
Limit tiles
At the top are three tiles that show how much you can still download:

| Tile | What it shows |
|---|---|
| CSV and Excel exports | “Unlimited” — with a subscription there is no daily row limit. Below — “Up to 200,000 rows per file · this hour: N of 30 files” and a bar showing how much of the hourly allowance is used. Without a subscription — “0” and “With a MAX subscription — on the Premium and Business plans” |
| PDF reports this period | How many reports are left and “of N per month” — how many your plan includes; the bar shows what is left. With report packs — “With packs: N more.” “Renews on …” — the date the limit starts over. The “Buy more reports” link buys a pack. Without access to reports — “0” and “On the Premium and Business plans” |
| Exports in 30 days | How many files of any type (including PDF) organization members downloaded in the last 30 days; below — when the latest export was made and by whom. If there were none — “None yet” |
A “month” is 30 days from payment
The PDF report limit is counted not by calendar month but in 30-day periods from the subscription payment. Paid on the 18th — the next period starts 30 days later, not on the 1st. Without a subscription the period is also 30 days, counted from when the organization was created. Unused reports do not carry over. More — Plans.
List exports
Next are four tiles, one for each “My MAX” list. Each shows the number of channels in the list and two buttons: CSV and Excel. One click — one file.

| Tile | What goes into the file |
|---|---|
| My channels | Channels your organization has confirmed ownership of — see My channels |
| Following | Channels from the Following list |
| Favorites | Channels from Favorites, all folders at once |
| Private channels | Private channels the organization has access to — see Private channels |
- The number on a tile is how many channels of the list the organization can currently see. A private channel you no longer have access to is not counted and does not go into the file.
- Favorites channels that are paused because they exceed your plan's limit are not exported either.
- If a list is empty, the buttons are replaced by “The list is empty — nothing to export”.
List file columns: “Channel”, “Name in MAX”, “Link on datool.ru”, “Link in MAX”, “Subscribers”, “Growth · day”, “Growth · week”, “Growth · month”, “Posts / day”, “Average views”, “ERR, %”, “Quality index”, “Last post (MSK)”. A quality index we hide because of low confidence stays empty. What the metrics mean — Basic metrics.
Channel report (PDF)
The first card under the lists is “Channel report”: a PDF file with the channel dashboard for the selected period. It is handy to send to a manager, a client or an advertiser.

How to download a report
- Choose a channel in the list. It contains all channels from your lists without repeats: first “My channels”, then “Following”, “Favorites” and private channels.
- Choose a period: 7 days · 30 days · 90 days · Year · All time (“30 days” is selected by default).
- Click “Download PDF”. Building takes a few seconds, then the file downloads.
If your lists are empty, the form is replaced by a hint: “Add a channel to “Following” or favorites, or confirm your own, and it will appear in this list.”
You can also download a report for any channel straight from the channel page — with the “Download report” button in the header: it builds a report for the last 30 days. Details — How the channel page works.
What's inside the report
The report is A4 pages with the same data as the Dashboard tab:
- header — channel name, name in MAX, subscriber count, period, who the report is for and when it was built;
- “Key numbers” — ten tiles with the change against the previous period;
- “Audience growth” — the subscriber line and growth columns;
- “Views and reach” — columns by period point and average reach;
- “Engagement” — ER by period point with a dashed average line;
- “Quality index” — the total and its five parts as bars (how it is calculated);
- “Post formats” — a table;
- “Top posts” — a table of up to 10 posts;
- a note on the methodology.
The report includes only the blocks your plan has access to. Locked blocks and tiles are not printed — they are listed in a “not included” note. Made-up numbers from blurred previews never appear in a report.
Logo. On a “Business” subscription the report header shows your organization's logo; on other plans — the datool.ru logo. The owner or an administrator of the organization uploads the logo in the cabinet on the “Organization and members” page (https://hi.datool.ru/organization/): PNG, JPEG, WebP or GIF up to 900 KB. Details — Organization and members.
How many reports you can build
| Free | “Premium” | “Business” | |
|---|---|---|---|
| PDF reports per 30 days from payment | — | 1 | 30 |
| Organization logo in the report | — | — | ✅ |
| Report pack | — | +30 | +30 |
- A report is a channel plus the exact dates of the period. “30 days” today and “30 days” tomorrow are different dates, so they are different reports.
- Downloading the same report again is free — the same channel and the same dates, no matter which organization member built it before or when. Such a report is marked “repeat” in the history and does not use the limit.
- A report pack adds 30 reports for 30 days from payment for 990 ₽; up to 10 packs per purchase. It is sold to organizations with “Premium” or “Business” (the “Buy more reports” link on the tile, or the cabinet: “Subscriptions and billing” → “Buy reports”). A purchased pack works for its whole term on any plan, even the free one. The plan's limit is used first, then packs — the one that expires soonest first; unused pack reports expire with the pack.
- Reports are built one at a time: while one report is being built for your organization, a second request gets the “Your report is already being generated” page — wait a few seconds and try again.
- If you are out of reports, a “No reports left this month” page opens instead of the file, with the date the limit renews and an offer to buy a pack. You can still re-download a report that was already built.
- If reports are closed on your plan, the form is replaced by a banner: “A PDF report of the channel dashboard for a period — on the Premium (1 per month) and Business (30 per month, with your organization's logo) plans, plus report packs beyond that” with a “Plans” button.
Channel posts
The second card is “Channel posts”: an export of one channel's posts to CSV or Excel.
- Choose a channel (the same list as for the PDF report).
- Choose a period: 7 days · 30 days · 90 days (“7 days” by default).
- Click CSV or Excel.
Custom dates, text search and “All time” are not available here — use the export button on the channel's “All posts” tab: it exports the feed with exactly the filters selected on the tab.
Post file columns: “Date and time (MSK)”, “Link on datool.ru”, “Link in MAX”, “Text”, “Views”, “Reactions”, “Reactions by kind” (e.g. “👍 25, ❤️ 3”), “Attachments”, “Attachment types”, “Ads” (whether the post is an ad), “Reposted from”, “Number in MAX”.
A file of up to 20,000 rows downloads immediately. A bigger one — for example, a large channel over 90 days — is queued: you return to this page with a message that the file is being built, and the finished file appears in “Export history” (below).
Word matches
The third card is “Word matches”: files with all posts that mention a tracked word, for all time since it was added.
- The card lists the organization's first five words with their match counts, each with CSV and Excel links. Words without matches have no links. A word's name links to its page.
- The “All words (N) →” link opens the Words page.
- If there are no words — “No words yet.” and an “Add a word” link.
Match file columns: “Published”, “Word”, “Channel”, “Snippet”, “Channel categories”, “Channel territory”, “Post link”. Matches for a specific period and with filters (by channel, category, territory, text) are exported with the “Export to Excel” button on the word page itself — see Word tracking. A match file downloads immediately and has at most 20,000 rows; if there are more matches, the file is “cut” — export the rest period by period on the word page.
Export history
At the bottom of the page is the “Export history” table: the organization's last 20 files, newest first. Everything goes here — lists, posts (both from this page and from the “All posts” tab), word matches and PDF reports (both from this page and from the “Download report” button on a channel page).

Above the table is a type filter: “All · Lists · Posts · Words · PDF”. With a filter, the last 20 exports of that type are shown; if there are none — “No exports of this type yet”.
| Column | What's in it |
|---|---|
| When | Date and time of the export, Moscow time |
| What | The list, channel or word name and a grey type label: “list”, “posts”, “word matches”, “report” |
| Who | The organization member who downloaded the file |
| Format | CSV, Excel or PDF |
| Rows | The number of rows in the file. Labels: “cut” — the file hit the row limit; “interrupted” — the database did not respond in time and the file contains only part of the rows; “queued” and “building” — a large file is still being prepared. For a PDF, instead of a number — how the report was paid for: “from pack”, “repeat” or a dash (from the plan) |
| last column | “Download · until …” for a finished large file, “file deleted” for a file whose storage period ended, and the “Repeat” button |
- “Repeat” builds the file again with the same parameters but on fresh data. For a PDF report it uses the same dates as in the row, so it is a free repeat. Repeating a CSV or Excel export is a new file and counts towards the hourly allowance.
- “Download” is shown only for large files built in the queue: they are kept for 3 days, and the deadline is shown next to the link (“until 21.10 14:30”). Only members of your organization can download such a file. When the period ends the file is deleted — click “Repeat” to build it again.
- Small files that downloaded immediately are not stored on the site: the history keeps only a row about them, and you can get the file again with “Repeat”.
Until there are exports — “No exports yet. The date, what was exported, who exported it, the format and the number of rows will appear here.”
File formats
- CSV — a text file in UTF-8 with BOM, separated by semicolons “;”. That way Russian-locale Excel opens it correctly without any settings: Cyrillic does not turn into gibberish and the columns do not merge into one. Dates look like “DD.MM.YYYY HH:MM”, Moscow time.
- Excel (XLSX) — a workbook with one sheet, a bold header and set column widths. Dates are real Excel dates you can sort and filter by.
- PDF — only the channel report.
- Text starting with “=”, “+”, “-” or “@” gets an apostrophe in front in the file, so Excel does not treat the text of someone else's post as a formula.
- File names:
max-<list>.csvfor lists (e.g.max-favorites.xlsx),<channel>-posts-<start>-<end>.csvfor posts,word-<number>-<start>-<end>.xlsxfor word matches.
Limits and restrictions
| Restriction | Value |
|---|---|
| Who can export CSV and Excel | “Premium” and “Business” subscribers, no daily row limit |
| Rows per file | at most 200,000 (longer files are “cut”) |
| Downloads immediately | a file of up to 20,000 rows |
| More than 20,000 rows | built in the queue, kept for 3 days |
| CSV and Excel files per hour | 30 per organization (PDF reports do not count) |
| Large files queued at once | up to 5 per organization |
What you will see if you hit a restriction:
| Page | What happened |
|---|---|
| “Too many exports this hour” | The organization has already requested 30 files in the last hour — try again in a few minutes |
| “Your files are already in the queue” | The organization already has 5 large files waiting to be built — wait for them or choose a shorter period |
| “The export queue is busy” | Many large files are being built right now — try later |
| “Exports are available on Premium and Business” | The selected organization has no subscription |
| “The channel is private for your organization” | A private channel the selected organization has no access to cannot be exported |
Limits belong to the selected organization
The subscription and limits are counted for the organization selected in the site header. If you have a personal “Premium” but a team without a subscription is selected, the export will not work — switch the organization in the cabinet.
Without a subscription
Without a MAX subscription the page opens, but:
- above the tiles is the “Exports are available on Premium and Business” banner with an “Upgrade plan” button;
- the list tiles and the “Channel posts” card are blurred and their buttons are locked;
- the “Channel report” card shows a banner with plan limits and a “Plans” button (unless the organization has a report pack);
- “Word matches” has no CSV and Excel links.
